Dark Mode

  • After enable dark mode in MacOS Mojave, It would be a little bit difficult to figure out which emails are new: not read yet.
  • To fix this, we can change the email from default one to dark or terminal them at Settings -> Themes.

Write Email Now And Send It Later

  • Schedule Send
  • So we still have chances to cancel it or update it.
  • So we can write it now (don’t procrastinate) but send it at right time (not in the middle of night etc)
  • It would be good if Google can make this feature even easier to use: like add one option (or make it configurable) to schedule to send it in 5 minutes.

  • Click 3dot icon then click “Create Event”
  • to track deadline, follow up etc

  • Hover the mouse cursor over the recipient’s name until a pop-up card appears
  • Click Add to contacts or schedule an event

Snooze Emails

Draft Emails

  • Create a draft email to save context: for example we receive one email we need handle and reply later, but no time to do now, we can create one draft email.
  • We need type something to create a draft email. If we click reply then click cancel, it will not create a draft email as the content is empty.
  • Clean old drafts: in:draft older_than:4m

Categories

  • We can move emails to categories like Promotions or Social categories and teach Gmail to Do this for future messages from this sender.

Labels

  • Create a label at Settings -> Labs tab.
  • Create a label from an email and a filter.
  • We can nest labels, see all email or search with that label.

Filters

  • We cam create filters, we can start it, mark it as important, set category(Primary or Promotions), apply the label, and on’t forget check the option: also apply this rule to the existing conversations.
    • When the email contains these specific words like coupon or credit card +activate 0% +APR then mark it as Important or categorize as Primary.
    • when the email comes from your company (hr, onboard) etc, apply the label, etc.
  • Maintain these filters: when the filter doesn’t apply any more, delete it.
  • For example, the store(like Google Express) once offered some coupon code we are interested, but they changed the practice or we you are not interested any more,, we can/should change it accordingly or just delete it.

Delete Emails

  • delete all old emails older than 3 months in promotions: category:promotions older_than:3m
  • Delete all emails that matches the query, not just the emails in first page:
    • Click the select all button, then if there are more emails than one page, it will show: All 50 conversations on this page are selected. Select all conversations that match this search
    • Choose Select all conversations that match this search, then click delete button.
  • Filter message like this to delete them.
    • it will filter message based on sender or Has the words
  • Unsubscribe from email directly or change the notification in its service
  • unwatch git repo if not interested

Canned Responses

  • We can create Canned Responses as template in case like to reply recruiter etc.
  • Enable Canned Responses at Settings -> Advanced
  • Create a draft email and save it as a template.
  • Use the template when reply or create new email.

Gmail Search Tips

  • from, to, cc, bcc, subject, -, label:, filename:,
  • OR or {}
  • category:, possible values: promotions, update, primary, social, forums,
  • after:, before:, older:, newer:
  • older_than: newer_than:
    • delete all old emails older than 3 months in promotions: category:promotions older_than:3m
  • has:attachment, has:presentation/document/spreadsheet/youtube
  • has:yellow-star, has:blue-info/purple-star
  • is:important, is:starred/read/unread/snoozed
  • AROUND: secret AROUND 25 birthday or holiday AROUND 10 vacation
    • Find messages with words near each other. Use the number to say how many words apart the words can be
    • Add quotes to find messages in which the word you put first stays first.

More Tips

  • Hide/Collapse the left side bar
    • Click the three horizontal lines in the upper left corner.
  • Desktop notifications: choose to be only notified for important mails
    • at Settings: choose “Important mail notifications on” to only notify important mails in desktop.
  • Confidential mode: self destructing and require sms code
  • Move emails to other categories and “Do this for future messages”
  • Create email signature
  • Enable Smart Compose at Settings.
  • Enable Enable experimental access at Settings.
  • Autocomplete the recipient name to avoid embarrassing typo
    • Hi then space, it will autocomplete the name, but Hi, then space will not (disappointedly).
  • Gmail is ‘dot-blind’ and will ignore any dot in your email address before @ sign.
  • Check details at the bottom for recent activity and Sign out all other Gmail web sessions.
